Production Team:
The volunteers in the production team are responsible for organizing program selections, planning the gala, and assisting with the design of lighting, sound, and stage effects to create a thrilling performance. Their creativity and dedication ensure that the performers enjoy the stage and showcase their talents, leaving the audience captivated and amazed.
The production team’s responsibilities are divided into four key areas:
- Gala Preparation: Organizing program recruitment and pre-screening, designing the program sequence and event flow, and coordinating rehearsals.
- Stage Design: Handling the lighting, LED screens, and stage props design and implementation.
- Sound Support: Setting up the stage, managing microphones and stands, and handling audio mixing (PA/monitor/OB).
- On-site Operations: Managing waiting areas, cueing performances, handling props, managing accompaniment playback, and supervising stage activities.
Sponsorship Team:
The sponsorship team plays a vital role in securing and managing partnerships.
Responsibilities include:
- Reaching out to potential sponsors (cash and non-cash) and negotiating collaboration opportunities.
- Expanding sponsorship networks and exploring new partnership models.
- Ensuring sponsors’ promotional benefits and coordinating audience and community engagement.
- Arranging and supporting sponsors’ booths during the event.
Internal Coordination Team:
This team ensures smooth operations behind the scenes, focusing on logistics, ticketing, and volunteer coordination.
Key responsibilities:
- Organizing and procuring resources for volunteer team-building activities and the celebration banquet.
- Implementing the ticketing plan for the event.
- Handling event-day logistics: ticket verification, distributing meals, and coordinating venue support.
Media Production Team:
Capture every exciting moment and bring the event from the Bay Area to the world! If you love photography, videography, editing, and collaborating with like-minded creatives, this is the perfect team for you. Showcase your artistic talent by creating memorable content.
Main responsibilities and skills:
- Photography on the event day (including photo editing).
- Documenting behind-the-scenes moments of volunteer activities (through photos, videos, and video editing).
